Who is responsible

Information we use

For website enquiries, we use the name, work email, business name, workflow description, tools and areas of friction that you submit.

For limited business outreach, we may use a company’s legal name, company number, active status, registered office, SIC codes, official website, published work address, a published named work email or role inbox, relevant public business observations, correspondence and suppression status. We do not guess email patterns, buy contact lists or use personal email addresses.

Where information comes from

• Information you give us through the website or correspondence.
• Companies House for durable legal-entity, status, address and SIC information.
• Official company websites and other public business sources for contact and contextual evidence.
• Google Places for local discovery. Places data is used transiently; Praxis Work retains only the Place ID.

Why we use it

Enquiries and requested services

We use enquiry information to take steps at your request, respond, and keep appropriate service records. Where relevant, the lawful bases are contract and legitimate interests in running and protecting the business.

Selected B2B outreach

We rely on legitimate interests to identify corporate businesses that may benefit from a practical workflow conversation and to send limited, relevant plain-text outreach to published business contacts. We balance this against the contact’s reasonable expectations, use a small local pilot, require human approval for every message, and make opting out simple.

We do not automatically enrol inbound enquirers in marketing.

Profiling and human review

We score prospective corporate businesses using locality, trading maturity, contact quality, evidence strength and fit with Praxis Work’s services. This prioritises which evidence-backed draft Keith reviews. It does not produce legal or similarly significant effects, and no email is sent solely by an automated decision.

Who processes information

Service providers may process limited information on our instructions: Google Workspace for email and calendar; Google Cloud and Firebase for hosting, authentication, functions, database and secrets; OpenAI for bounded research synthesis and reply classification; Google Maps Platform for transient place discovery; and Companies House as a public data source. We may also disclose information where required by law or to professional advisers under appropriate duties.

Where a provider processes information outside the UK, we rely on the provider’s applicable transfer safeguards and contractual protections.

How long we keep it

Non-engaged prospect and research records are deleted 180 days after the final follow-up. A minimal suppression record—an email hash, domain, reason and date—is retained while outreach continues so that an opt-out is honoured. Enquiries, active conversations, meetings and client records are retained only as long as reasonably needed for the relationship, legal obligations and dispute handling.

Opting out

Every outreach message includes a visible opt-out and an unsubscribe header. Reply “no thanks”, use the unsubscribe link, or email keith@praxiswork.co.uk. Opt-outs, complaints and permanent bounces are suppressed immediately and pending outreach drafts are cancelled.

Your rights

Depending on the circumstances, UK data-protection law gives you rights to access, correct, erase or restrict personal information; object to processing, including direct marketing; and receive certain information in a portable form. You may also withdraw consent where consent applies. To exercise a right, email Keith using the address above.

You can complain to the UK Information Commissioner’s Office at ico.org.uk. We would appreciate the opportunity to address your concern first.

Security and website technology

The private sales dashboard requires Google sign-in, an administrator claim and application attestation. Browser clients cannot directly read or write private sales records. Credentials and refresh tokens are stored in Google Secret Manager. The public workflow form uses validation, rate limiting, a honeypot and application attestation. Praxis Work does not use tracking pixels or report email opens.
